TERMS & CONDITIONS

Please read the information listed below carefully, as each registration booking is subject to the standard terms and conditions of the Summit. Registration for this event is deemed acceptance of these terms and conditions.

Fees

The fee for each event will include one delegate place at the Summit, breakfast, coffee breaks (refreshments), lunch (offered on whole Summit days only) and any relevant documentation and conference materials. Dinner is served on Saturday at the Africa Cultural Gala and Awards Nite.  No delegate will be able to gain admittance to the Summit unless payment of the fee has been received.

Earlier registration is encouraged using a tiered fee schedule which increases as the summit comes closer. If registration rates are not paid in full before the next rate increase date a fee increase to the next tier will be applied and you will be invoiced for this increased amount.

Within 48 hours of receipt of your registration and payment, you should be issued with a confirmation email. If you do not receive an email within this time frame, please contact the registration office at [email protected] .

Non-paying delegates are those delegates who are nominated by sponsors or are invited speakers or media persons or other persons identified by U.S.-Africa Trade Commission at its discretion.

Cancellations

Registration fees are refundable, less a 25% processing / administrative fee retained. All cancellation requests must be received in writing not later than deadline indicated on the registration form. No questions asked. However, no refund will be issued no-show, or for cancellations for any reasons received after deadline indicated on the registration form.

Registrations are transferable (within the same membership category) with a $75 administrative transfer fee. 

All cancellations must be sent in writing via e-mail to the Summit registrar, [email protected].

The organizers are not responsible for problems beyond our control such as weather conditions, campus conditions, travel difficulties, visa problems, health issues, etc. No refunds will be given in these situations IF submitted after the cancellation deadline.

Visas and Travel

It is the responsibility of delegates to ensure that they understand any visa requirements for entering the United States of America. Failure to be granted a visa does not constitute a valid reason for cancelling a delegate ticket without the normal cancellation fees being applied, if eligible.

Delegates are responsible for their own travel and accommodation arrangements and costs.

Substitutions

Substitutions may be made, in advance or at the event with proper documentation. Proper documentation consists of a letter on company stationery displaying the name of the original delegate and the person who will be attending in his or her place.

Suitcasing

Suitcasing is the practice of actively soliciting attendees of a tradeshow or an event for business onsite without being a sponsor or exhibitor for instance by handing out flyers in hallways, leaving printed material on tables. For the benefit of delegates and the exhibitors supporting the event the only legitimate space to undertake soliciting for business is within an exhibition space. Attendees observed undertaking suitcasing will be removed from the event with no recourse.

Data Scraping

A comprehensive Event and Meeting App is provided for the use of Delegates. This allows delegates to communicate with each other during the event. It is prohibited to data scrape from the App. Data scraping is a technique in which a computer program extracts data from human-readable output coming from another program.

Event Content

In certain circumstances it may be necessary to alter the content, venue, themes, program, speakers, moderators or timing of the Summit. You acknowledge and agree that the organizers reserve the right to change any and all aspects of the event at any time including the program, venue and time.

Image Capture

By registering as a delegate, attendees acknowledge and consent to their name, job title, company name and photograph, film or recording being published on the U.S.-Africa Trade Commission affiliated websites, related promotional material in perpetuity and on the USATIGS Event and Meeting App without further approval from you or payment to you. Personal data supplied is subject to relevant Data Protection legislation and other applicable data protection laws. The information supplied by you may be used for direct marketing purposes. Any exceptions, waivers or alternate requests to this must be submitted and agreed in writing

Speakers

Views expressed by speakers are their own. The organizers cannot accept liability for advice given, or views expressed, by any speaker at the Summit or in any material provided to delegates.

Insurance

It is the responsibility of the delegate to arrange appropriate insurance cover in connection with their attendance at the Summit. Africa Events Ltd cannot be held liable for any loss, liability or damage to personal property or health.

Force Majeure

If the Summit is cancelled for any reason, except in the case of a force majeure (including but not limited to any act of terrorism, war, riot, civil commotion, compliance with any law or governmental order, fire, flood, inaccessibility to venue, storm or adverse weather strikes, lock-outs or other industrial disputes, delay in transit, power failure, postal delay), a full refund will be made.

General

All advice, decisions, opinions, recommendations, proposals, presentations, seminars and reports, whether written or oral, are made in good faith by the U.S.-Africa Trade Commission based on value judgements influenced by current commercial and organizational conditions. These may be affected by unforeseen events and factors outside the Organizer’s control and, as such, we reserve the right to amend or cancel planned or previously agreed to arrangements. In this instance, the U.S.-Africa Trade Commission shall not be liable in any event to delegates, exhibitors, or any other person or third party for any direct or consequential loss or damage sustained arising out of or in connection with the event.

Others

Delegates are responsible for ensuring that any food or drink eaten or drunk at the venue complies with any personal dietary restriction, food intolerance or food allergy that they may have.

The organizers shall not be liable to you for any direct, indirect or consequential losses or damages (including but not limited to loss of profits) whether arising in connection with this Agreement, even if you have been advised of the possibility of such loss or damage.
